Why converting a statement is harder than it looks

The PDF looks like a table; the spreadsheet does not. Three things make statements genuinely hard to convert — and the third one costs money.

Layout, not data

The numbers are pictures, not data

A statement PDF is laid out for printing, not for machines. Columns are visual alignment, not structure — so copy-paste turns a tidy table into one smeared column.

No two alike

Every bank prints it differently

Debits on the left or minus-signed, day-month or month-day dates, dot or comma decimals. A converter built around one bank's layout quietly mangles the next one.

The costly part

A wrong number looks exactly like a right one

Extraction that is 98 percent correct looks flawless and hides two broken rows. Unless something checks the arithmetic against the statement, you find out at reconciliation — or never.

The job people actually show up with

Two years of statements, due Monday

A client hands over two years of PDFs: clean downloads, scans of scans, a phone photo taken at an angle, two locked with a password nobody wrote down. The deadline is Monday and the books have to balance.

Done by hand

  • Retype every row, page by page.
  • Cross-check twice — you cannot tell which rows you fumbled.
  • Squint at scans, hunt for passwords.
  • The weekend is gone before the books balance.

The same folder, through MainBook

  • The folder goes in as a batch, comes out as one spreadsheet.
  • Scans go through OCR; locked files open with your password.
  • Every statement is reconciled against its own balances.
  • Rows that do not add up arrive flagged — review is a short list.

Questions people ask before uploading

What does MainBook actually do?
It turns a PDF bank statement into a spreadsheet. Every transaction becomes one row with its date, description, amount and — when the statement prints one — the running balance, and the totals are checked against the opening and closing balances on the statement itself before you download anything.
Which banks does it work with?
Any bank, in any country, in any language. There is no template to select: the statement is identified from its own contents, which is why the same upload flow handles a US checking statement, a UK current account and a European statement with comma decimals.
Is it free to try?
The first 10 pages are free and need no account, no card and no email. After that you buy pages in one-off packs starting at 25 dollars for 138 pages — there is no subscription, and pages you have paid for do not expire.
What happens to my statement after the conversion?
It deletes itself: 24 hours after a guest upload, 90 days after an upload made from an account, with an email warning 7 days before. Processing is automated with no human review, and statements are never sold, shared with advertisers or used to train third-party AI models.
How is this different from a plain PDF-to-Excel converter?
A generic converter copies whatever text it finds and leaves you to check it. MainBook understands that it is reading a bank statement: it separates debits from credits, follows the running balance row by row, and flags any line where the arithmetic does not match the statement instead of handing you numbers that merely look plausible.

Ready to stop wasting time on manual data entry?

Upload your first statement and see the results in under 30 seconds. No credit card, no commitment.
